How to take card not present payments

Entering the Payment

For Card Not Present, such as over the phone payments start in the Pay module, then Card Not Present.  You will be prompted for the following information:

  • Amount - Enter the dollar amount you wish to charge the Patient or Payer
  • Name on the Card - The name on the credit card, not the patients name unless they are the same.
  • Valid Thru - The expiration date of the credit card
  • Postal Code - The billing zip code of the card
  • Security Code - The ccv security code from the card
  • Street Number - The address numbers of the billing address on file for the card. (ex. For 123 Main street, you would enter "123")
  • Customer Name - Search from the list for the patient.   You can search by first name, or chart number.
  • Chart Number - The Chart Number will display automatically once you choose the patient.
  • Memo/Note - This is an optional field if you want to make a special note about the payment.   This will show on the transaction report, and in the payment history.
  • Post on Complete - If using integration, enabling this setting will write the payment back to the practice management system.
  • Vault Card - Enabling this setting will store the credit card for future use.   The card is stored at the processor, and the full card number is not retrievable once stored, only the last 4 digits.

Once you enter all of your information, click "pay", which will send the transaction to the terminal to be finished.  The patient then simply inserts or taps their card to finish.  They do not need to press any buttons on the terminal

Successful Payment

If the payment is approved, you will have several options:

Email receipt - You will need to enter an email address, unless it is stored in the customer record.

Text receipt - You will need to enter a mobile number, unless it is stored in the customer record.

Print receipt - This will launch a preview of the receipt for you to print on your printer.  Some terminals have built in printers that print receipts immediately upon approval.

Copy info - This will copy the transaction data to the clipboard if you need it to paste into another application.
